Applying to become an AAC
All organisations must become an AAC to deliver Sports
Leaders UK qualifications by completing an
AAC Application Form and a Course Application Form.

The AAC name is the title of the organisation.

A minimum of two people are needed to deliver a
qualification. An Internal Verifier, and a Tutor/Assessor
(either person could also be the Centre Course Manager).

At least one person per AAC must have attended
Sports Leaders UK Tutor Training within the last three years.

The Internal Verifier is someone within your organisation that
can verify the assessment decisions being made by the
Tutor/Assessors. This person cannot internally verify a unit that
they have helped to deliver and/or assess.

Once accredited, a centre will receive AAC status for all
Sports Leaders UK's qualifications.

To run a course at a site different to that
of the AAC (an additional site), a
Course Application Form must be completed for each additional
site. If multiple courses are being delivered at different
sites, each site must be registered with Sports Leaders UK.
AAC accreditation
All organisations must be accredited as an AAC before they
can start to deliver a qualification. If you are a new centre, when
you submit your AAC Application Form, you will be contacted by a
Sports Leaders UK External Verifier to arrange an accreditation
visit at your centre.
The External Verifier will want to check and discuss the
following:
- That facilities are acceptable.
- That the standard and range of equipment is acceptable.
- That there are active Equity and Health and Safety
policies.
- That the venue and tutor insurance fulfils Sports Leaders UK
requirements, i.e. minimum of £5,000,000.
- That the location of learner's records is secure.
- Internal Assessment and Internal Verification Records have
been prepared.
- That the centre has up-to-date Tutor Resource Packs for the
appropriate qualifications and awards.
- That staff roles and responsibilities of the Centre Course
Manager, Tutor/Assessor, Internal Verifier,
Independent Assessor and the External Verifier are known and
understood.
- The importance of the AAC Manual and Technical Updates.
When you have received AAC status, you will receive a
certificate. The certificate will expire in 12 months and you
will be asked if you want to renew. Certificates are renewed
on an annual basis, accompanied by an invoice.
If the organisation also needs Tutor/Assessors to be
accredited, then the External Verifier will arrange for this
to happen simultaneously.
Applying to deliver a qualification
Sports Leaders UK requires all AAC's to complete a Course Application Form for
each qualification that they are planning to deliver. The centre
must complete a separate application form for each cohort of
learners they are registering, in order for Sports Leaders UK to
maintain accurate course history records. If a whole year
group is being taught in groups of 20 by four different tutors then
you should submit four application forms. Each course will be
allocated a course number for learners and tutors to quote in all
correspondence.
Application forms must be:
- Submitted approximately eight weeks prior to the course start
date to ensure that you have all the necessary resources required
for the start of your course.
- Submitted for each type of qualification being delivered.
- Submitted for each cohort of learners being registered.
- Authorised/signed by the Centre Course Manager.
Accrediting a new Tutor/Assessor
If it is the first time that a tutor has applied to deliver a
course as a Tutor/Assessor, an External Verifier will arrange an
accreditation visit with them before the course starts. The
External Verifier will want to check and discuss the following:
- Course plan.
- Staffing (including CV, and other relevant certificates (for
example, Sports Leaders UK Tutor Training).
- Details of links with other organisations.
- Tutor Resource Pack.
- Any other resources you intend to use.
Registering learners
Every learner undertaking a Sports Leaders UK qualification must
be registered within four weeks of the course start date.
The Learner Registration Form from the Record of Achievement must
be completed and returned to Sports Leaders UK, for each
learner. Photocopied pages cannot be
accepted. Tutor/Assessors are responsible for ensuring that
all registered learners are the minimum required age at the start
date of the course.

Returning Records of Achievement
Credit notes can only be issued for Records of
Achievement if they are returned within three months of the
course start date on an active course. Records of Achievement
that are used or returned three months after the course start date
will not be credited. Records of Achievement cannot be
transferred and used for different courses as they are issued
against a course number.
From the 1st January 2012, any Records of Achievement that are
returned to our warehouse (Returns Department, c/o Ark-H Handling
Ltd, Unit 1 Kenneth Way, Wilstead Industrial Park, Wilstead,
Bedfordshire, MK45 3PD) or returned to Sports Leaders UK Head
Office in Milton Keynes with an opened wrapper, will not be
credited.
All correspondence should be sent to Sports Leaders UK Head
Office in Milton Keynes. Please do not include any other paperwork
with your Record of Achievement returns as these are delivered
directly to our warehouse.
Claiming certificates
At the end of the course, the Tutor/Assessor must sign the
Learner Certification Form in the Record of Achievement to validate
that each learner has achieved some or all of the units. The
Tutor/Assessor must also sign to confirm that they have seen the
learner's completed and signed Independent Assessor Form. Also,
depending on which qualification the learner has completed, the
Tutor/Assessor will also need to sign to confirm sight of other
documentation*.
Before you claim your certificates, please make the
following checks. Please note that if any signatures do not match
Sports Leaders UK records, they will be returned to the Centre
Course Manager, which may cause delays to learners receiving their
certificates.
- The Tutor/Assessor must be accredited by Sports Leaders UK.
Attending a Tutor Training Day does not accredit someone as
a Tutor/Assessor.
- The Tutor/Assessor must sign and date the Learner Certification
Form in the Record of Achievement to verify that learners have
shown competence against the entire syllabus.
- Once signatures are in place, please return the Learner
Certification Forms to Sports Leaders UK, 23-25 Linford Forum,
Rockingham Drive, Linford Wood, Milton Keynes, MK14 6LY.
- If you wish to clarify who can sign for certificates, please
contact the Awards Administration Department on 01908 689 180.
The signed Learner Certification Form from the Record
of Achievement must then be returned to Sports Leaders UK to be
processed. Certificates and badges for the successful learners will
then be sent to the Centre Course Manager.
*Level 2 Award in Community Sports Leadership -
Sign to confirm that each learner has a valid and current
First Aid certificate.
*Level 3 Certificate in Basic Expedition
Leadership/Level 3 Award in Day Walk Leadership - Sign to
confirm that each learner has a valid and current
First Aid certificate (eight hours), and completed and signed
Leadership Log and Walking Log.
*Level 3 Certificate in Higher Sports
Leadership - Sign to confirm that each learner has a valid and current
First Aid certificate, a valid
and current National Governing Body certificate, and that you
have seen all three completed and signed Independent Assessor
Forms.
